Using Certification Expiry in Shift Eligibility
Use dated qualifications in roster eligibility so a worker is not assigned when the required credential is not valid for the full shift.
A worker can be qualified today and ineligible for a future assignment. Scheduling should evaluate qualification validity against the shift date, not against a permanent checkbox.
Attach the qualification to the coverage requirement
Define which role or post requires the qualification. Avoid making a specialist credential a global requirement when it applies only to selected work.
Check validity through shift end
If the credential must be valid for the entire assignment, use the shift end time when checking eligibility. A qualification expiring during the shift should not satisfy that requirement.
Keep the open position visible
When no valid qualified worker remains, preserve the coverage demand and show the qualification gap before the manager accepts the roster.
Worked expiry example
Assume a specialist qualification is valid until Wednesday 7 October at 00:00 in the site's time zone, and must remain valid for the full assignment. One shift starts Tuesday at 18:00 and ends Wednesday at 06:00. Checking only the start would admit the worker; checking the full interval correctly rejects the assignment because the credential expires six hours before duty ends.
| Shift | Full-shift qualification check |
|---|---|
| Tuesday 08:00–16:00 | Eligible under the expiry rule |
| Tuesday 18:00–Wednesday 00:00 | Eligible up to the expiry boundary under this convention |
| Tuesday 18:00–Wednesday 06:00 | Ineligible: validity does not cover the full shift |
| Wednesday 08:00–16:00 | Ineligible without an effective renewal |
The table uses shifts as half-open intervals: start included, end excluded. For this convention, qualification valid-from must be at or before shift start and valid-until must be at or after shift end. If your regulator or operating policy defines expiry differently, use that definition consistently instead of assuming a date label means midnight.
Resolve date-only and renewal ambiguity
A certificate saying “expires 7 October” can be interpreted differently from an explicit validity instant. Establish whether that date is inclusive, which time zone applies and whether any grace period is actually authorized. Do not invent a grace period in the scheduler. Keep both the original record and the normalized time used for assignment checks.
A pending renewal is not the same as an effective renewed credential. Record the new validity start/end only after the required verification. If a renewed qualification becomes valid Wednesday at 08:00, it still cannot validate a Tuesday-night duty that crosses the gap. Two records must provide continuous coverage if the policy permits them to be combined.
Match credentials to specific work
In a site with a general gate post and a specialist control-room post, require the control-room credential on the latter rather than on every guard. The same worker can be eligible for the gate and ineligible for the control room during the same interval. Keep qualification type, scope, validity and location authorization as distinct inputs.
If the only valid specialist is unavailable, preserve the control-room demand as open. A qualified relief worker is one repair; removing the specialist requirement merely to fill the cell is not. The worked security roster shows this role-specific gap in a complete weekly schedule.
Review before publication and after changes
- Confirm the source record and verification date.
- Check scope and full validity interval for each required role.
- Review pending renewals and expiry within the roster period.
- Recheck after a swap, time change or site reassignment.
- Keep open assignments and the blocking qualification visible.
UK security managers can consult the SIA register and SIA business licence-checking services. Other industries and jurisdictions need their own authoritative records. A scheduling input is not independent verification of a licence.
Use dated qualification planning with qualified-team coverage, and review the overnight interval example when an expiry and shift span different dates.
