How to Build a 24/7 Security Guard Roster

A practical workflow for 24/7 security posts: coverage, guard headcount, qualifications, relief capacity, rest and open-post diagnosis.

By Rosterzen Editorial•October 3, 2026 · updated•4 min read

Start with the posts that must remain covered, not with a list of guards. Then layer the people and rules onto that demand.

1. Define every required post

List each static post, control room, reception point or other function that must be covered. Give every post a shift pattern and minimum headcount. Do not delete the demand simply because the current team cannot fill it.

2. Add post-specific qualifications

If a control room requires a specific qualification, make that requirement explicit on the control-room coverage only. Avoid making specialist requirements global unless that is genuinely how the operation works.

3. Calculate relief, not only peak headcount

Two guards required at once does not mean two guards are enough for the roster. Weekly hours, leave, night availability and consecutive-work rules usually require a larger pool.

4. Keep open posts visible

If a post cannot be filled, the roster should say why: no qualified guard, leave, availability, minimum rest, weekly hours or another scheduling rule. That is more useful than a silently broken spreadsheet.

5. Accept the proposal only after review

A generated roster should be treated as a proposal. Review the week, inspect unfilled posts, change the team or rules if needed, then explicitly choose whether to use it.

Worked demand: gate and control room

Consider an illustrative site requiring one gate guard and one control-room guard continuously. Use day shifts from 06:00 to 18:00 and night shifts from 18:00 to 06:00 the next day. Two posts × two shifts × seven days means 28 assignments of 12 hours: 336 staffed hours. A control-room qualification is required only for that post; all listed workers meet the example's basic gate eligibility.

For this example, six guards are available for days and six for nights. Each can work at most three shifts, or 36 hours, in the planning week. The configured minimum rest is 12 hours. This larger, availability-specific crew is a feasible example, not the minimum headcount for every site.

A, D, G and J each work 36 hours; the other eight guards work 24 hours. Total allocated time is 4 × 36 + 8 × 24 = 336 hours. The day and night pools never overlap. Within the shown week, each person's assignments are separated by at least 36 hours of rest. Sunday night ends on Monday, so include the next week's first assignments in the rest check.

Diagnose a qualification gap rather than hiding it

If D takes leave on Sunday, the day control-room position is open. B and F are not available that day, and A's gate eligibility does not establish control-room eligibility. Moving A into the control room would both remove gate coverage and violate the specialist requirement. The repair needs an available control-qualified relief guard or a genuine operational change authorized by the site.

Also model handover and break relief. If guards must overlap for handover, add that time to demand and their working hours. A post requiring continuous presence cannot be left empty during a meal break; identify who relieves it and whether that person is eligible for the post.

Verify licences and plan the relief pool

For UK private-security work, consult the SIA licence-holder register and confirm the type and status relevant to the work. This UK reference does not establish licensing requirements elsewhere. Keep verification dates and credential expiry with the roster inputs rather than relying on a permanent qualified checkbox.

Estimate relief using the staffing calculator, then review the full proposal with security scheduling or the security roster generator. Check every open post, both week boundaries and any last-minute substitutions before publication.
