A Staff Roster Coverage Review Checklist

Review staff rosters by role, availability, location, working hours and rest. Use Rosterzen’s coverage checklist to investigate open positions before publishing.

Quick answer

Review a staff roster against the original demand, not just its assigned names. Check role coverage, eligibility, working times, hours and rest, then investigate every open position. Rosterzen keeps those gaps visible so a manager can decide what to change.

Start with the original demand

Keep a record of the shifts, sites, roles and minimum headcount used to build the roster. The review needs that reference to establish what was covered. A calendar filled with names can still omit a required position.

Check demand one shift at a time. Ask whether each role has an eligible assignment, whether a person has been counted for overlapping duties, and whether an uncovered requirement is still visible. Preserve the requirement when coverage is missing.

Review the role mix, not just headcount

Consider an illustrative shift needing three general workers and one supervisor. Four assigned workers do not satisfy the requirement if none can perform the supervisory duty. Set that duty explicitly so it can be checked separately.

Avoid using a specialist as general cover without considering their other assignments. Their availability may be sufficient for several shifts individually but insufficient for all of them together. Rosterzen combines role eligibility with the rest of the scheduling problem.

Check each worker across the complete roster

Inspect availability windows, approved time off, site eligibility and the configured working limits. A worker free for a single shift can still exceed their weekly hours when all assignments are considered.

For overnight work, check the real start and end timestamps rather than comparing only day labels. Review rest between adjacent assignments and the limits your organisation has configured. The team responsible for employment policies should approve those settings.

Separate missing information from insufficient capacity

An open position can reflect incomplete data, a genuinely unavailable team, or too few staff with the required qualification. These lead to different actions. First check that the demand and worker records are correct before changing a staffing requirement.

Suppose a worker has the qualification but is not eligible for the site in the data. Confirm their actual eligibility before updating the record. If no eligible person is available, preserve the gap and route it to the coverage owner rather than silently loosening a rule.

Record what changed after review

Keep a short record of corrections: the input that was wrong, the approved decision, and the roster version reviewed. After changing availability or demand, generate and review the affected plan again.

Do not treat an earlier review as approval of a newly changed roster. A manager should be able to explain which coverage requirement a correction addressed and whether other hours or rest checks were affected.

Use a small acceptance checklist

Before accepting the roster, confirm the original demand remains represented, each required role has eligible cover or a visible gap, assignments fit the supplied availability, and working limits have been reviewed. Identify who owns every remaining open position.
